Front Office Executive
We are looking for a professional and highly organized Front Office Executive (FOE) to join our team at in Dubai. As a Front Office Executive, you will be the first point of contact for our company and will play a critical role in ensuring the smooth and efficient operation of the office. You will be responsible for providing administrative support, managing the front desk, and ensuring excellent communication between departments and visitors.
Key Responsibilities:
- Reporting to Management: Assist with administrative tasks, including reporting, preparing documents, and maintaining schedules for executives.
- Answering Phone Calls: Receive and direct phone calls to the appropriate departments or team members.
- Scheduling Appointments: Organize, schedule, and confirm appointments, meetings, and events for the management team and other departments.
- Visitor Management: Greet and assist visitors in a professional, friendly, and efficient manner, ensuring a positive first impression of the company.
- Handling Inquiries: Address and respond to inquiries via phone, email, and in person, providing accurate information and assisting with general inquiries.
- Mail Management: Sort and distribute incoming mail and packages, and manage outgoing mail in a timely manner.
- Document Management: Copy, scan, and file important documents, ensuring that the offices records are organized and easily accessible.
- Office Supplies Management: Maintain office supply inventory, placing orders for replacements and ensuring that the office remains well-stocked with necessary supplies.
- Office Equipment Maintenance: Ensure all office equipment is in working condition and report issues to the facilities team or management.
- Team Collaboration: Provide administrative support to different teams as required, assisting in coordination and maintaining effective communication between departments.
- Customer Relationship Management: Ensure all visitors and clients are treated with utmost courtesy, maintaining high standards of customer service.
- Communication Skills: Strong verbal and written communication skills in English , with the ability to interact effectively with visitors, clients, and team members. + Multilingual skills are a plus (Arabic, Hindi, etc.).
- Tech-Savvy: Working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and other basic computer software.
- Organizational Skills: Strong attention to detail and the ability to manage multiple tasks and priorities in a fast-paced environment.
- Customer Service: A passion for providing excellent customer service and a friendly, professional demeanor.
- Problem-Solving: Ability to handle office challenges and provide effective solutions while maintaining a positive attitude.
Requirements:
- Education: Bachelors degree in Hospitality and Hotel Administration or a related field.
- Experience: At least 2 years of experience as a Front Desk Executive, or in a customer-facing role, preferably in the hospitality or real estate industry.
Job Type: Full-time
Pay: AED2,000.00 - AED3,000.00 per month
